Our Agreements tool allows you to create and manage your proposals or contracts easily. Finalize all the details and send them off to your prospects for e-signature – it's easy!
To create an agreement:
Log in to your Eventective account and click on your Inbox. Select the event request you would like to generate an agreement for.
If the event is in the Prospect stage, click on the ‘Bookings’ tab. You will be prompted to promote the event to a ‘Qualified’ stage. Click ‘Continue’ to confirm the change. If your event is already in the Qualified stage, click on the 'Details' tab.
Edit any details, starting with the Overview section to edit the event name, type, guest count, date, and owner. Select 'Done Editing' when you're finished.
The Schedule section allows you to set up the event schedule and fully outline the event costs.
Start by editing each function to set proposed start and end times, identify the event space to be used, and define when your client can access the space for setup and breakdown.
If the event consists of multiple functions, like a Wedding Ceremony and Reception, you can break out each into its own section with pricing structures.
The Manage Items functionality is where you can outline your event costs. Create items for Room Rental, Food & Beverage, Rentals & Service Personnel and Fees & Gratuities. Learn more about this feature here.
The Payments section enables you to configure your payment schedule, including payment descriptions, status (unpaid or paid), due date, and the amount due.
The Terms section allows you to enter as many Agreement Terms as you like. Terms can be entered individually, or as a template. Use Terms Templates when you reuse specific terms for multiple agreements.
You can also add 'Initial Here' fields to any of your Terms by selecting the pencil icon.
Once you’re ready to send the agreement to your prospect, click ‘Send Agreement.’
Choose whether or not you would like to require an e-signature. Your prospect will be notified they have an agreement to review and sign, if applicable.
Once the prospect has viewed and signed the agreement, you will be notified, and the event will be marked as ‘Booked.’
